You need to stop doing everything manually.
If you’re a coach and you haven’t yet started using Dubsado, then it’s time to get on board. Why? Using Dubsado allows for better workflow management and increased productivity. In this blog post, let’s talk about the workflows that every coaching coach should have: inquiry, booking, onboarding, offboarding, and follow-up. We’ll also show you how to create these workflows in Dubsado so your coaching business is running like a well-oiled machine!
1) Inquiry Workflow
When a potential client reaches out to you, it’s important to have a system in place to manage their inquiry. This workflow will help ensure that no leads are lost and that potential clients are properly taken care of. Here’s how it works:
The first step is to create a form that potential clients can fill out to inquire about coaching services. This form should ask, at minimum, for the potential client’s name, email address, and phone number.
Once the potential client fills out the form, their information is automatically added to a Dubsado project. You can then set up a workflow to follow up with them within a certain amount of time. I recommend that you create a workflow to follow up with leads within 24 hours of receiving their inquiry.
Then, the potential client receives an automated email from you, welcoming them and giving them information on how to set up a call so that you can have a conversation about their needs and see if they are a good fit for the services you have. This automation is important because it tells the potential client what steps will happen next in the process.
2) Booking Workflow
The booking workflow is all about moving potential clients from inquiry to commitment. After you have had your Discovery Call with them and have decided that they would be a good fit, you can send them a proposal, contract, and invoice in one go. This will save you time and ensure that there is no back and forth between you and the potential client.
When the potential client accepts your proposal, they are automatically moved through to the contract, where they can sign their contract, and make their first payment.
3) Onboarding Workflow
Once a potential client has become a client, it’s important to have an onboarding workflow in place to help them get started. This onboarding workflow should include:
- A welcome email that includes their client portal login information and other important information they need to get started.
- Instructions for how to access your coaching materials.
- A questionnaire for them to fill out so you can get to know them better and create a custom program for them.
- Meeting schedulers so that they can schedule their coaching sessions with you.
4) Offboarding Workflow
When a client decides to end their coaching relationship with you, it’s important to have an offboarding workflow in place. This will help ensure that they are properly taken care of and that all of their materials are properly archived.
Here’s what your offboarding workflow should include:
- A goodbye email from you, thanking them for their time and wishing them well on their journey of growth and development. You can also share a special offer with them that is only available to current clients. This could be an exclusive webinar or something similar.
- A questionnaire for them to fill out so you can get feedback on your coaching relationship. This is important because it will help you improve your services and make sure that all clients have a positive experience working with you.
- Instructions for how to save their materials, so they can always access them if they need to.
4) Follow-Up Workflow
Finally, it’s important to have a follow-up workflow in place after the coaching relationship has ended. This is done by having an email sent automatically at certain times after your coaching has ended. If someone responds positively and says that they do want to reconnect at some point, you can move them back into your onboarding workflow.
Creating these workflows in Dubsado will help you streamline your coaching business and make sure that all of your clients are taken care of properly. Having a system in place makes the process easier for both you and your clients, and it will ensure that they always have a positive experience working with you.
