The New Year is a great time to review your CRM system. 

Whether you’ve been in business for 10 years or are just getting started, it’s crucial to make sure that your systems are aligned with the needs of your clients. This special blog post will help you identify areas where improvements can be made and give you some ideas on how to get started.

Auditing your CRM on a regular basis ensures it is ready for your growth. Whether this is your first year using a CRM or you have had one in your business since the start, it is (or should be) the foundation of your client-facing back-end operations.

So, let’s start at the beginning:

Lead Capture Forms

Ensure that the questions you use to qualify your leads are up to date. Perhaps things have changed for you throughout the year or you are ready to ask upfront questions to make sure you are getting your ideal clients.

Proposals

Check your brand colours and ensure your branding is up to date. Update any copy that needs updating including your FAQs. If you don’t have FAQs think about questions that you are asked by clients and put those in your proposal.

You should also have new testimonials from clients that you have worked with throughout the year, now is a great time to update those.

Contracts

Make sure you have the most recent version of your contract and update any contact information that may have changed. Also, if you offer a payment plan make sure to add that into the contract and what the terms are for late payments or refunds. Update any smart fields if needed double check your branding.

Canned Emails

Review your canned email templates and make sure that the content is still relevant. You may want to update the colours/branding to reflect your new look if it has changed at all. Check for spelling errors and make sure they are easy for clients to understand, also check if there is any out-of-date information that could be confusing or not relevant anymore.

Email Signature

Update your email signature with your new branding, include any relevant social media links, and make sure that all of your contact information is up to date. If you use a picture of yourself, update the picture with a more recent one. Add in your office hours and your booking link and you are good to go!

Forms and Questionnaires

Make sure that you have an updated version of your forms and questionnaires. Check the layout and make any necessary changes based on new information or processes you may have implemented throughout the year.

Schedulers

Double-check that your scheduler is up to date and reflects the way you currently book appointments. If you are using a video conferencing program, make sure the links are still correct and review your confirmation and reminder emails for consistency.

Payment Plans

Double-check that your payment plans are up to date and make sense for the services you offer. Don’t forget to review your payment reminders and past-due reminders for each of your payment plans.

Pricing and Packages

Review your pricing and packages to make sure that they are still in line with what you offer. Also, check to see if there are any services that you no longer offer or have added new services and adjust your pricing as needed.

Worfklows

Check your workflow and make sure that the steps are still correct for each client. If you have added any new services, procedures, or tasks throughout the year be sure to add them in order for everything to flow smoothly. If you found that any clients had a difficult time navigating your workflows, change them to be easier.
